What is Summerfest?

Summerfest is an exciting, competitive, and fun-filled indoor summer camp experience that is in its third year. Events cover many areas of interest and all youth are sure to find multiple activities they will enjoy.

Who can attend Summerfest?
Summerfest is open to all currently registered Venturers, Explorers, Sea Scouts and Boy Scouts 14 and up,and registered adults working with Crews, Posts, Ships or Troops.

What types of activities are planned for Summerfest?

Physical Challenges, Interactive Demonstrations and Competitive Events will give you the opportunity to show your skills and will give you a chance to meet and compete with other Explorer Posts and Venture Crews from throughout the Southern Region.

  • Law Enforcement, Firefighter, EMT/Paramedic Activities & Competitions
  • Fun Physical Challenges: Rock Climbing, Zip Line, Flying Squirrel, Caving, Football Toss and Rope Climbing
  • STEM Interactive Programs - Science, Technology, Engineering and Math related activities
  • Urban Compass Course
  • Religious Hike

What are the Registration Fees?

Registration Fees- $50.00 per Youth/ $15.00 per Adult

EARLY BIRD FEES ARE $40/youth and $10/adult if you pay in FULL no later than July 1, 2013.

What do I need to know in order to register?
All adults and youth must register for the conference.

Payment may be made via VISA, MasterCard, Discover, American Express, or check made payable to Coastal Empire Council.

Please keep in mind that (for Law Enforcement and Fire Service Explorer Posts) pre-registering for competitive events does not register you for Summerfest. You must register for the conference separate from the competitive events registration.

            6-8pm – Meet & Greet, pick up wristbands and schedules, Law Enforcement and Firefighter Teams

                           will receive their competition schedules.

  • July 22, 2013

8:30-8:45am- Late Registration

8:45am-9:00am- Law Enforcement and Firefighter teams gather in lobby and prepare to compete.

9:00am-12:00pm- Competitions and Activities

12:00pm-1:00pm- Lunch (on your own)

1:00pm -3:00pm- Competitions and Activities continue

3:00pm - 3:30pm – Awards Ceremony

3:30pm -4:00pm- Break down and clean up

4:00pm-10:00pm- Dinner, Free Time

1:00am- Curfew.  Everyone in their own room

What can I expect when I visit Savannah?

Located in the heart of Coastal Georgia’s Low Country, Savannah is a city of rare natural beauty—from her distinctive park-like squares with stately oaks draped in Spanish moss to her cobblestone streets and the magnificent architecture of her storied antebellum homes and churches. There is no other city like Georgia’s first city, Savannah!

Traveling to Savannah

Savannah is a great town to visit – your group will have a blast! Most units will travel by personal vehicle to Summerfest, but be sure to check into alternative means of transportation. You may be able to save money by working with other units in your area to charter a bus. Several units will fly into Savannah.

Regardless of your method of transportation, you will want to be sure that you file a Tour Plan with your BSA Council Office. If you are traveling more than 500 miles you will need to fill out and turn in your Tour Plan AT LEAST a month a head of time. You’ll need to bring a copy of your Tour Plan with you to Summerfest as well as a copy of your Council’s proof of insurance. For information on the required Tour Plan please visit


Developing a Budget for Summerfest

1. Summerfest Conference fee:

Registration Fees- $50.00 per Youth/ $15.00 per Adult (Early Bird fees are $40/youth and $10/adult)

2. Lodging Costs:


SpringHill Suites Group Package Deal - Direct Link to their registration page. There are limited reserved rooms for Summerfest 2013!  Deadline to reserve a room is June 21, 2013.

You can place 4 youth in each hotel room which can help you save money on lodging. Most adults will want to share a room with only one other adult. Be mindful of Youth Protection guidelines as you plan your rooms. When you budget for lodging, anticipate having a room or two that are not full (only 1-3 residents) as you may not have the number of youth boys/youth girls that is evenly divisible by four.

3. Travel costs (private car, rented van, air, bus, etc.)

4. Food costs (most units leave this up to the individual)

Items of Note
Two-deep leadership is required. Co-ed leadership is required if you have a co-ed group. Adult leadership is responsible for the conduct of their youth during the event, including, complying with the designated curfews.

Transportation, meals, hotels, and the Tour package are “on your own.”
Your conference fee includes all competitive events and the award ceremony.

The payment due dates for fees are strictly enforced. Be sure to allow enough time to get your fees in to the Coastal Empire Council. (We can accept VISA, MasterCard, Discover, and American Express over the phone if you get in a bind.)

5. Do not send anything to your local BSA Council Service Center. All registration information, forms, payments, etc, should be sent directly to the Coastal Empire Council, BSA.
It is important to note that adults and visitors will not be allowed to participate in any events. Their conference fee allows entry only to watch events.

Backdate your participants’ payment schedule to ensure your success. For example, if registrations are due to Coastal Empire Council by 6-1-2013 (for the lower rate), set your unit’s payment date 10 days prior to that to give you time to collect straggler’s fees and have it sent to Coastal Empire Council on time. 

The conference is staffed with trained medical personnel to assist your unit as needed. If you need medical assistance, please ask for assistance from any conference staff member with a walkie-talkie and help will be summoned. If you need immediate assistance, dial 911.

Please be sure all your youth review and sign the “Code of Conduct” form. Behavior and discipline are the responsibilities of the group leaders. Serious discipline breaches are subject to review by the Conference Review Panel, and in appropriate cases, the youth involved may be asked to leave the conference.

Damages to hotel rooms or any conference facilities are the responsibility of the Explorer/Venturer and their post/crew.

The Summerfest conference fee is non-refundable.
